Step #4: Annual Reports


PhDs and supervisors must present annual reports of their work by the end of the PhD project and as mandatory requirement for the Thesis Defense (see step #7). The PhD and their corresponding supervisory team are requested to organize a yearly meeting (Jahresgespräch) to discuss their progress in the previous year, identify issues, create alternative strategies, and plan the following year in terms of work, courses, and conferences, among other things. The results of these discussions should be included as part of the “Annual report” form (DZ/V02) and submitted to the SSC. The documents will be requested by the SSC when submitting the final thesis manuscript.

Starting from summer semester 2025, after successful completion of the Faculty Open Presentation (FÖP), all PhD students are required to submit their Annual Reports in a coordinated way, regardless of the evolution of their PhD project. The deadlines for Annual Reports will align with FÖP registration deadlines. Reminders for submission will be sent by the SSC. If a PhD student does not submit a (proficient) Annual Report, the student plus supervisory team will be required to present the status of the project to the Doctoral Advisory Board.

Tasks & Duties


PhD student

  • Participate in annual meeting (Jahresgespräch)

  • Send report to SSC.

Supervisors

  • Organize annual meeting (Jahresgespräch)
  • Discuss progress, issues & alternatives, create a planning for next year
  • Fill up + sign “Annual report” form (DZ/V02)

vDSPL

  • Receive the candidate’s Annual report from the SSC via email
  • Check and sign
  • Send documents back to SSC with copy to the PhD/candidates
